Valimail supports Multi-factor Authentication (MFA), which can be set up via SMS verification or an authenticator app. This article will walk you through the steps to enable, disable, and reset MFA.
Enable or Disable Multi-Factor Authentication
1. Log in to your Enforce or Monitor account.
2. Click on the Personal Settings icon on the top right.
3. Scroll down to the Multi-Factor Authentication tile, and click on the toggle button to enable or disable MFA (the button will show green when MFA is enabled).
If you have just enabled MFA, follow the steps below to complete the setup process.
Setting Up Multi-Factor Authentication (MFA)
You can set up MFA using either Text message (SMS) or an Authenticator App. Choose the method that works best for you.
Step 1: Choose Your MFA Method
Select one of the following options:
Text Message (SMS): You'll receive an authentication code via text message to your phone number.
Authenticator App: You'll use an app (such as Google Authenticator or Microsoft Authenticator) to generate authentication codes.
Step 2: Set Up Your Chosen Method
If you selected Text Message (SMS):
Confirm the phone number where you'd like to receive codes.
Wait for the authentication code to arrive via text message.
If you selected Authenticator App:
Open the authenticator app on your phone.
Add a new login/account within the app (usually a "+" or "Add Account" button).
Scan the QR code displayed on your screen using your phone's camera within the app.
Note: Steps may vary slightly depending on which authenticator app you're using.
The app will generate a 6-digit authentication code.
Step 3: Enter Your Authentication Code
Grab the authentication code, either from your Authenticator App or the SMS message you received, depending on the method you chose.
Type the code into the Authentication Code field.
Click Activate.
Once activated, MFA will be enabled for your account, and you'll be prompted to enter a code from your chosen method each time you log in.
Enable or Disable MFA at the Account Level
Note: The setting that enforces multi-factor authentication (MFA) for all users on an account is available only with the Enforce product. Monitor customers can enable MFA at the user level, following the steps above.
Only Admins (Owner-type users) can access this feature, which lets them require MFA for all users on the account. Follow the steps below to turn this requirement on or off for your organization.
1. Log in to your Valimail account with a user that has Owner-level permissions.
2. Click on the Account Settings button.
3. Under the General section, note the Multi-Factor Authentication section.
4. Click on the toggle button to turn the MFA requirement ON or OFF.
5. (OPTIONAL) After enabling MFA, you will have the option to enable authentication via SMS for all users.
Reset Multi-Factor Authentication
If you get a new mobile device or lose access to your authenticator app, you can reset MFA and set it up again using a new authenticator app or phone number.
Reset MFA for any user on the account
This option is available only to Owner-type users (Admins).
1. Go to Account Settings.
2. Open the USERS section from the side menu.
3. Click on the Reset MFA button next to the user who requested this action.
3. Click on the YES, RESET IT button.
Note: The next time the user logs into their account, they will have to go through the steps above to set up MFA.
Reset MFA for your own username
Please note that this option is available only if your organization has enabled Multi-Factor Authentication at the account level. If you don't have access to reset your own MFA Token, please ask an Owner-type user (Admin) on the account to do it for you, or email us at [email protected] for assistance.
1. Click on the Personal Settings button on the top right.
2. Click on the RESET YOUR MFA TOKEN button.
3. Click YES, DELETE IT.
4. You will be logged out of your account and asked to set up MFA following the steps above to set up MFA again.
Enabling Single Sign-On (SSO) disables the MFA feature within the Valimail app. If you want to use both SSO and MFA together, you'll need to configure MFA through your Identity Provider instead.
